These Terms and Conditions apply to all orders placed with BHF Graphics through our website, email, telephone, or any other remote ordering method for printed products and related services.

1. Definitions and Interpretation

In these Terms and Conditions: “we”, “us” and “our” mean BHF Graphics, “you” and “your” mean the customer placing an order, “Goods” means any printed products, packaging, promotional materials, or other items we supply, “Services” means any design, pre-press, artwork checking, proofing, finishing, fulfilment, or related services we provide, “Order” means your request to purchase Goods and/or Services; and “Website” means www.bhfgraphics.co.uk.

2. Orders and Contract Formation

All Orders are subject to acceptance by us. After you place an Order, we may send an acknowledgement email, this is only confirmation that we have received your Order and does not mean that we have accepted it. A binding contract is formed only when we confirm acceptance of your Order in writing, begin production, or dispatch the Goods, whichever happens first.

  • We may refuse or cancel an Order where artwork is unsuitable, information is incomplete, payment is not authorised, materials are unavailable, or we reasonably suspect fraud or unlawful use.
  • You are responsible for checking all Order details, including quantities, sizes, finishes, delivery details, and spelling, before submitting your Order.
  • Any quotation we provide is an invitation to treat and is valid only for the period stated in the quotation.

3. Artwork, Files, Colour and Proof Approval

You must supply artwork, text, images, logos, and other content in the file format and specifications stated on our Website or as otherwise requested by us within our Artwork Guide. We are not responsible for delays, errors, or quality issues caused by low resolution files, incorrect dimensions, incorrect colour settings, hidden layers, missing fonts, spelling mistakes, or other defects in the files you provide. Where we provide a digital proof, production will not begin until you approve the proof unless we expressly agree otherwise. You are responsible for carefully checking the proof for layout, copy, colours, image placement, pagination, trim, bleed, and other details. Once you approve a proof, you accept responsibility for any errors remaining in the approved version.

Because printed products are produced using physical materials and machinery, minor variations may occur between on-screen images, proofs, reprints, and finished Goods. Unless we have expressly agreed to a specific print standard in writing, reasonable tolerances in colour, density, cutting, folding, trimming, positioning, size, and quantity shall not be treated as defects.

4. Pricing and Payment

All prices are shown in pounds sterling and exclude VAT unless stated otherwise. Express production surcharges, and any other applicable fees will be shown before you place your Order. Payment must be made in full at the time of Order unless we have agreed credit terms with you in writing.

If a pricing, typographical, or system error occurs, we may cancel the affected Order and refund any amount paid. Where payment is overdue, we may suspend work, withhold delivery, charge reasonable recovery costs, and charge interest where legally permitted.

5. Production Times and Delivery

Any production or dispatch times shown on our Website or in correspondence are estimates only and begin only once we have accepted your Order, received cleared payment, received all required artwork and information, and, where applicable, received your proof approval. We will use reasonable efforts to meet stated timescales, but time is not of the essence unless we expressly agree otherwise in writing.

Delivery dates are estimates. We are not liable for delay caused by couriers, events outside our reasonable control, incorrect delivery details, failed delivery attempts, severe weather, or delays caused by your late approval or amended instructions. Risk in the Goods passes to you on delivery or collection. Ownership of the Goods remains with us until we have received payment in full.

You must inspect the Goods on delivery and notify us in writing within 48 hours of any shortage, damage, or delivery issue, and within 7 days of any alleged defect that would not reasonably be apparent on delivery. Please keep all packaging and provide photographs or other evidence we reasonably request.

6. Cancellations and Returns

All our Goods are made to your specification or clearly personalised. Under UK consumer law, the 14-day cooling-off right for distance sales does not generally apply to bespoke or personalised items. This means that as your Order is custom-made, printed with your artwork, cut to size, or otherwise tailored to your instructions, you are not entitled to cancel simply because you change your mind. Your statutory rights still apply if the Goods are faulty, not as described, or not fit for purpose.

Due to the high productivity and fast turnarounds, it is highly unlikely to cancel an order once placed as production is started almost immediately. If you wish to cancel an Order before production starts, please contact us as soon as possible. If we are able to stop the Order, the Order will be removed from production queues and any original production times are void, we may refund the price paid less any reasonable costs already incurred, including design time, artwork checks, materials purchased, and work completed up to the point of cancellation.

7. Faulty Goods, Quality of Goods and Refunds

Nothing in these Terms and Conditions limits your statutory rights. If Goods are faulty, not as described, or not fit for purpose, please contact us promptly with full details of the issue. We have a Triple R policy in place, Reprint, Replace or Refund. We may ask you to return the Goods, or part of them, for inspection before we decide whether to Reprint, Replace, or Refund.

In the event of an issue over the quality of Goods, we always want to reprint or replace instead of refund, we may ask you to return the Goods, or part of them, along with a full description of quality issues outside of any previously mentioned standard print tolerances, that are to be rectified.

In the event of a dispute regarding quality of Goods, The British Printing Industries Federation (The BPIF) will be called upon for final judgement of the decision.

We will not provide a refund, replacement, or reprint where the issue arises from customer-supplied errors, approved proofs, standard print tolerances, misuse, poor storage, or damage occurring after delivery. Any refund will be limited to the price paid for the affected Goods.

8. Customer Content and Intellectual Property

You confirm that you own, or have permission to use, all text, images, logos, designs, trademarks, and other content you submit to us, and that our use of that content to fulfil your Order will not infringe any third-party rights or break any law. You agree to indemnify us against any loss, damage, liability, cost, or expense arising from any claim that your content infringes third-party rights or is unlawful.

Unless otherwise agreed in writing, all intellectual property rights in our Website, templates, proofs, pricing tools, design assets created by us, and other materials we create remain our property or the property of our licensors. If we create artwork or designs for you, ownership of the final agreed deliverables will transfer only to the extent expressly agreed and only after full payment has been received.

9. Liability

Nothing in these Terms and Conditions excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited.

Subject to the paragraph above, we shall not be liable for any indirect or consequential loss, loss of profit, loss of business, loss of opportunity, loss of goodwill, or any wasted management time. Our total liability in connection with any Order shall not exceed the amount you paid for that Order.

We are not responsible for any failure or delay caused by events beyond our reasonable control, including equipment breakdown, supplier shortages, transport disruption, industrial disputes, cyber incidents, flood, fire, pandemic-related disruption, or government action.

10. Data Protection and Privacy

We will process personal data in accordance with applicable UK data protection law and our Privacy Policy. You should ensure that any personal data included in artwork or materials you provide to us has been collected and shared lawfully. Where we process personal data on your behalf in connection with fulfilment of your Order, you remain responsible for the lawfulness of that data and the instructions you give us.

12. General

  • If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
  • We may update these Terms and Conditions from time to time. The version in force at the time of your Order will apply to that Order.
  • No failure or delay by us in exercising any right shall operate as a waiver of that right.
  • A person who is not a party to the contract shall not have any right to enforce any term of the contract under the Contracts (Rights of Third Parties) Act 1999.
  • These Terms and Conditions are governed by the law of England and Wales, and the courts of that jurisdiction shall have exclusive jurisdiction, subject to any mandatory consumer rights.
